In a comprehensive reflection report presented to SUPKEM, the Mashair Hajj Caravan awarded the council for its commitment, leadership and effective coordination that contributed to one of the smoothest Hajj operations experienced by Kenyan pilgrims in recent years.

The team highlighted improvements recorded during both the pre-Hajj preparation phase and the main Hajj period, attributing the success to timely communication, stronger stakeholder collaboration, improved use of technology and better organization of pilgrim services.

According to a report seen by ASAL Post, SUPKEM’s enhanced coordination with Hajj agents, government stakeholders and service providers played a key role in creating a more organized and efficient framework that improved planning, coordination and delivery of essential services to Kenyan pilgrims during Hajj 2026.

EARLY PLANNING AND STRONG COORDINATION KEY TO HAJJ SUCCESS

The Mashair team praised early communication of Hajj timelines and guidelines, noting that it allowed pilgrims and agents to prepare effectively in line with requirements from the Saudi Ministry of Hajj.

The report recommended maintaining consistent communication channels and ensuring information is shared in English, Kiswahili and Somali to improve accessibility among Kenyan pilgrims.

The formation of a five-member agents’ committee working closely with SUPKEM was also highlighted as a major milestone, allowing stakeholders to participate in important decisions regarding accommodation, tent arrangements, transport services, catering and negotiations with Saudi service providers.

TECHNOLOGY TRANSFORMS HAJJ MANAGEMENT

The report recognised the successful adoption of digital platforms, particularly the Nusuk Masar platform, which streamlined key Hajj processes despite strict timelines.

Through the system, teams managed critical operations including accommodation arrangements, tent allocation, passport scanning, visa processing, pre-arrival information submission and other mandatory requirements.

Mashair praised SUPKEM’s support in handling emerging challenges linked to the new visa issuance timelines, especially in cases where pilgrims faced unavoidable circumstances requiring adjustments or replacements.

IMPROVED MASHAIR SERVICES ENHANCE PILGRIM COMFORT

The caravan team noted significant improvements in the Mashair arrangements, including tent allocation, accommodation standards, catering services, cleanliness, cooling systems, drinking water availability and privacy measures.

The report credited joint efforts between SUPKEM, Hajj agents and service providers for ensuring a more organised experience for pilgrims during their stay in Mina, Arafat and Muzdalifah.

The use of AI-supported systems during tent allocation was also recognised as a positive development that improved efficiency and transparency.

TRANSPORTATION IMPROVES AS TEAM CALLS FOR FURTHER ENHANCEMENT

The Mashair report acknowledged major improvements in pilgrim transportation, with movements between Makkah, Mina, Arafat and Muzdalifah completed successfully without major disruptions.

However, the team recommended further improvements, including the use of buses with increased luggage capacity to enhance comfort during long-distance movements.

The report also highlighted an incident where some buses lost direction while travelling from Makkah to Mina, causing delays and discomfort for some pilgrims.

It recommended stronger route coordination, improved transport monitoring and enhanced communication systems to prevent similar challenges in future Hajj operations.

The Mashair team also praised the Kenya Consulate in Jeddah for its critical role in supporting Kenyan pilgrims throughout the Hajj period.

The consulate was recognised for assisting with arrival arrangements, transportation coordination, recovery of lost passports and ensuring smooth departure procedures.

Special appreciation was extended after the consulate intervened in a case involving a Kenyan pilgrim who suffered a broken leg and faced challenges accessing medical care. The intervention ensured the pilgrim received treatment and remained supported until returning home.

The report acknowledged challenges faced by agents, particularly regarding payment timelines and meeting operational requirements due to delays in pilgrim collections.

Looking ahead, Mashair reaffirmed its commitment to working with SUPKEM and other stakeholders to build on the successes of Hajj 2026 and deliver an even more efficient Hajj 2027 programme.
